1. Booking and Confirmation

All bookings are subject to these Terms & Conditions.

A booking is confirmed and legally binding once you receive confirmation (written or verbal) and we have received any required deposit. Deposits are non‑refundable.
2. Company Identity

“Monarch Routes Ltd” refers to the trading name of the Company as stated on our website (monarchroutes.co.uk).
3. Liability & Conduct

Monarch Routes Ltd (including our staff, agents, and drivers) is not liable for any loss or delay caused by traffic, weather, road accidents, or other events beyond our control. Issues should be addressed between the passengers, group leader, and the driver.

Passengers must remain seated with seat belts fastened while vehicles are in motion.
4. Service Accuracy

We make all reasonable efforts to provide accurate information about our services. No employee or agent has authority to change these Terms unless officially confirmed in writing by us.
5. Amendments & Cancellations by Us

We reserve the right to cancel, modify, or suspend bookings if we cannot fulfill services due to vehicle issues, driver unavailability, or other unforeseen circumstances. In such cases, you’ll receive a full refund for the cancelled part only—but we’re not liable for other arrangements, such as accommodations or alternative transport.
6. Pricing & Charges

All charges are based on the price at the time the service is provided. We reserve the right to adjust pricing where necessary, including due to exchange rate changes or increased operational costs.
7. Vehicle Damage

You are responsible for any damage to vehicles or equipment caused during your hire. You agree to reimburse us or the contractor for repair costs and any losses arising from vehicle downtime. Criminal liability may apply in cases of negligence or misuse.
8. Route & Usage

We will plan the optimum route unless you specify an alternative. Any changes you request that extend the journey may incur additional charges.
9. Vehicle Availability

Quotes do not guarantee vehicle availability. If no suitable vehicle is available, we may cancel your booking and refund any payments made—without liability for extra costs.
10. Deposits & Payments

A non‑refundable deposit of 40% of the total hire cost is required to secure bookings, unless otherwise agreed.

Full payment is due before departure unless otherwise arranged.
11. Cancellation by You

If you cancel more than 14 days before travel: 40% of total hire cost

7–14 days prior: 50%
-
48 hours–7 days prior: 75%
-
Less than 48 hours prior or after boarding: 100%

Additional charges for third-party services (e.g. hotel, ferry) will be passed on in full.

No special concessions for illness or pandemics—we recommend booking only confirmed plans. Changes also incur a charge:

14+ days: 15%

7–14 days: 30%
-
<7 days to 48 hours: 40%
-
<48 hours: no refund, full charge applies

12. COVID‑19 & Health Guidelines

Face masks and social distancing are recommended but not mandatory. Drivers sanitize high‑touch surfaces between trips. Passengers are encouraged to follow public health advice, use tissues, avoid boarding if unwell, and maintain distance from drivers. Monarch Routes Ltd is not liable for health-related fines or consequences during travel.
13. Subcontracting

Monarch Routes Ltd may subcontract vehicles/drivers as needed. We ensure all subcontracted services meet licensing and insurance standards.
14. Driver Authority

The driver’s decisions are final regarding safety and conduct on board. Passengers may be refused travel or removed for misconduct—without refund.
15. Missed Flights (“No‑Show”)

Passengers must inform us immediately of missed flights. Prepaid fares are fully charged unless canceled in advance. Drivers wait up to one hour from landing time in airport pickup zones.
16. Passenger Responsibility & Restrictions

Passengers are responsible for keeping the vehicle clean and abiding by rules:

No smoking, alcohol, or messy food items

No animals except approved guide dogs

Luggage must not block aisles or exits; heavy items go in luggage compartments

Any unsuitable items may be refused.
17. Additional Charges
-
Tolls, ferry fees, parking, and trailer hire (£40 each way) are not included and will be billed separately.
18. Damage & Theft

We are not responsible for loss or damage to personal items—ensure belongings are secure.
19. Complaints

20. Governing Law

These Terms are governed by UK law. Disputes are resolved in UK courts.
